ADVICS North America, Inc.’s Plymouth Michigan location is currently looking for a Bi-lingual Sr. Technical Administrator, proficient in verbal and written Japanese communication.
In this position, you will be responsible for working directly with the Engineering Department planning, organizing, and coordinating various technical administrative duties ensuring the effective and efficient maintenance and improvement of engineering activities. This position requires fluency in Japanese, both verbal and written.
Specific responsibilities and duties include but are not limited to:
Technical Administration/Engineering Support:
Overseeing and managing the Engineering Skills Development Process including locating the required training resources and monitoring Engineers’ training progress.
Preparing and supporting Technical Publicity and Promotion Activity for technical exhibition, technical presentations, etc. This may include travel and participation in Technical Exhibitions.
Maintaining and improving processes to manage Intellectual Property (IP), which includes leading patent registration process, communicating with Japan IP Department to issue patents, communicating with lawyers for IP registration, and tracing and follow-up to properly keep IP.
Preparing materials for division and department internal meetings.
Coordinating meeting documentation for North American Monthly Meetings as well as Japan meetings and Executive Reports.
Preparing translations of Technical documents and presentations.
Supporting technical meetings with ADVICS-Japan by acting as a translator for local management and preparing meeting minutes.
Supporting General Office Administrative Duties Include:
Supporting incoming and outgoing communications and correspondence, including main phone line, distribution of internal documentation, and shipping & receiving.
Supporting the coordination of office/facilities maintenance and the purchase of office supplies.
Greeting and welcoming guests and visitors by preparing welcome board, agendas, invitations, catering services and meeting materials needed.
Supporting the monitoring of building security as appropriate.
Education and Experience:
Desired qualifications: Associates/Bachelors Degree in related field with 5 years of administrative or secretarial experience.
Minimum qualifications: High School Diploma. Minimum 8 years administrative or secretarial experience is required.
Ability to fluently speak, read, and write Japanese Language is required.
Ability to perform complex and confidential administrative and secretarial duties for executives, managers in multiple departments.
Ability to manage multiple competing deadlines effectively and professionally.
Ability to create reports and presentations in both English and Japanese, for use at executive and customer meetings.
Skill in organizing large amounts of data, reports, and presentations in an efficient and easily retrievable manner.
Skill in effectively participating in teams made up of peers, subordinates, and managers.
Skill in communicating with others in different departments and to other people outside the organization verbally and through writing.
Ability to use MS Office products, MS PowerPoint, MS Project, MS Access, etc., Email, Internet, Voicemail, and other miscellaneous electronic devices and software products.
